Incoming Student Room Selection

Are you a new incoming first year student at UWRF or a new transfer student? Explore this page to learn about the room selection process. Carefully complete all steps to ensure your room selection is completed properly! All messages regarding the steps will be communicated via your UWRF email. 

Step 1: Sign Contract

  1. Log in to the Housing Portal (you will be redirected to a new site).
  2. Once in the portal, sign your 2026-2027 housing and dining contract.
  3. Submit the $135 contract payment.
  4. Complete all required pages, including the "Sign Contract" page. 
  5. Select a meal plan.


Step 2: Preferences

  1. By June 1 at noon, log into the Housing Portal to select:
    1. Roommate: June 1, noon, is the deadline to accept a roommate in the Housing Portal. If you do not accept a roommate by this deadline, then scroll down to the “Room Selection Timeline” part of this page and see roommate options explained in the "Roommate Deadline” section.
    2. Communities: By June 1 at noon, indicate any Themed Community preferences in the portal on the “Community Preferences” page, which will add your name to the Communities Lottery. Roommates who accept each other in the portal as roommates should specify preferences for the same communities and in the same order of preferences.


Step 3. Select a Room

See the Room Selection Timeline below for details about the following:

  1. When Room Selection opens:
    1. Select your hall and room in the Housing Portal.
  2. When Room Swap opens:
    1. After choosing a room in the Housing Portal, if you change your mind about where you want to live or your roommate preference, you may Room Swap to a different room or hall at any time while Room Swap is open in the portal.
  3. FAQ: Can I have a single room without a roommate?
    1. No, there will not be an option for incoming students to receive a single room for the 2026-2027 year. If you end up in a room without a roommate, then a roommate will be assigned to your room.


Before Room Selection

  • In preparation for choosing a room:

    • Ames Suites: Graduated high school in 2025 or earlier.
    • Crabtree Hall: First year incoming students only.
    • Grimm Hall: First year incoming students only.
    • Hathorn Hall: Graduated high school in 2025 or earlier.
    • Johnson Hall: Any student.
    • May Hall: Any student.
    • McMillan Hall: Floors 1 and 2: Any student. Floors 3 and 4: First year incoming students only.
    • Parker Hall: First year incoming students only.
    • Prucha Hall: Graduated high school in 2025 or earlier.
    • South Fork Suites: Graduated high school in 2025 or earlier.
    • Stratton Hall: Any student. 


Room Selection Timeline

Roommate Deadline: 
Monday, June 1, noon


Roommate request deadline: On Monday, June 1, at noon, the Roommate Search page in the Housing Portal will turn off. 

  • Accepted roommates: These details are for students who met the June 1 deadline and accepted each other as roommates in the Housing Portal. You have an accepted roommate if you log into the Housing Portal and see a roommate listed on the page titled "Roommate Search (Closed)." Getting into a room together is easier when you have an accepted roommate in the Housing Portal because only one student in the roommate pair logs into the Housing Portal during Room Selection and chooses a room, then assigns both roommates to the room. Only an incoming first year or transfer student can assign both roommates to a room when Room Selection opens. This means that if your accepted roommate is a returning UWRF student, they can't log in and choose a room for you both during Room Selection – you will need to do that.
  • Do you have a roommate in mind, but missed the June 1 deadline? You can still get into a room with a preferred roommate during Room Selection or Room Swap by choosing the same room together. During room selection, you will both be required to log in and choose a room that has two empty beds. Be in direct communication with each other to ensure that you choose the same hall and room.
  • Random roommates: If you don't have a roommate in mind and did not accept a roommate in the Housing Portal, no worries! When you choose a room, you can see the profiles of students who have empty beds in their rooms before you choose a room. Or you can choose a room with two empty beds and let a random roommate choose the empty bed in your room. Later, you can change rooms during the Room Swap phase of Room Selection if you find that you are not a match with your roommate.
Early Bird Deadline:
Monday, June 1, noon

Early Bird Housing contract deadline (Monday, June 1, noon): Incoming new and transfer students who have a signed housing and meal plan contract by this deadline will be assigned to a day and time for choosing a room during Early Bird Room Selection on June 10-11.
Community Lottery Deadline:
Monday, June 1, noon


Community Lottery deadline: Deadline to select communities on the “Community Preferences” page in the Housing Portal and to be added to the lottery for those communities. Note that some communities require that students agree to an agreement for living there, as explained on the Community Preferences page.

  • If you are paired with a roommate in the Housing Portal, both you and your roommate should select the same communities and in the same order of preference in the Housing Portal. This doubles your chances of getting into a preferred community because both roommates are then added to the lottery.
Community Lottery Winners:
Thursday, June 4


Community Lottery: Students who indicate a preference for specific Themed Communities in the Housing Portal on the “Community Preferences” page by the June 1 Early Bird Deadline will be entered into a random lottery for those communities.

  • Winners will receive an email on Thursday, June 4, notifying them that they will be assigned to a room in a requested community. For students with mutually accepted roommates in the Housing Portal, they and their roommate are winners and will be assigned together into a room.
Early Bird Room Selection:

Thursday, June 11, 
5-8 p.m. nightly


Early Bird Room Selection for incoming first year and transfer students starts between 5-8 p.m. each day in the Housing Portal June 10-11. This room selection phase is only for students who signed their housing contracts by the Early Bird deadline of June 1 at noon. In the email they receive, Early Bird students will have a specific start date and time when they can log in and choose a room. This information will also be available for them in the Housing Portal prior to their Room Selection date.

Your room selection date and time: Room selection dates and times are determined by the date that a student signs their housing contract. Students with earlier signed contracts receive earlier room selection dates and times.

Room Selection:

Room selection available for any incoming new and transfer students in the Housing Portal who have not yet chosen a room.

  • Room Selection step-by-step instructions (coming soon).
  • Note: For students who have a specific roommate in mind, Early Bird room selection is over and rooms that have two empty beds will be in short supply. Be in close contact with your roommate to ensure that you pick the same room, or at least the same hall.
  • Room swap strategy: You and your roommate can assign yourselves to different rooms in the same hall (if there are no rooms available with two empty beds), then talk with your random roommates to see if one of them would be willing to swap rooms so that you can be with your desired roommate. Please be diplomatic as they are not required to move rooms.
Room Swap:
Thursday, July 9, 8 a.m.-
Thursday, July 16, noon


Room swap available for all incoming new and transfer students in the Housing Portal for students seeking to change their hall, room and/or roommate. 

Only incoming students who already have a room may use Room Swap. Students may room swap as many times as they would like during these dates.

Late Room Selection:
Thursday, July 30, 8 a.m.-
Tuesday, Aug. 4, noon


Late Room Selection is only available for students who have not yet chosen a room on campus for the 2026-2027 year.

  • Room Selection step-by-step instructions (coming soon).
  • For students who have a specific roommate in mind, a limited number of rooms with two empty beds may be available scattered among a number of halls. Be in close contact with your roommate to ensure that you pick the same room. If your roommate is already in a room before this room selection phase opens, then try to assign yourself to a bed in their same hall and see Room Swap details here.
  • Room swap strategy: If there are no rooms available with two empty beds, then you and your roommate can assign yourselves to different rooms in the same hall with random roommates. Talk with your random roommates to see if one of them would be willing to swap rooms so that you can be with your desired roommate. Please be diplomatic as they are not required to move rooms. 
  • During this phase, the Room Swap page will be turned on and available in the Housing Portal, allowing you to move rooms and change roommates at any time.
Hand-Assigned to a Room:
Starts early August


For students who have a signed contract to live on campus but have not yet chosen a room: As empty beds become available, Residence Life will hand-assign those students to a room with a roommate of similar age and year in school, then will email those students with details to their UWRF email address. 

  • We STRONGLY ENCOURAGE students to choose a room and roommate on one of the previous room selections selection dates shown above, rather than wait for Residence Life to hand assign them to a room. 
  • If you are not assigned to a room in a timely manner, please email reslife@uwrf.edu to inquire into the status and timeline for your room assignment.
Move In Sign Up:
Mid-August

Move In sign up: A few weeks before Move In, students will log into the Housing Portal and choose a move in day and time. An email will be sent to students in advance of the Move In sign up date and full details will be available on the Move In webpage at that time. Details for students with unique arrival dates or circumstances will also be available at that time.
Hall Move In:
Saturday, Aug. 29-
Tuesday, Sept. 1


Hall Move In:

  • Saturday, Aug. 29: Hall Move In begins for incoming first year and transfer students. Welcome activities and meal plans begin on this date as well.
  • Sunday, Aug. 30: Hall Move In for returning UWRF students begins.

Hall Move In Ends:
Tuesday, Sept. 1

First Day of Classes:
