Programming and Activities Board

The Programming and Activities Board (PAB) is a great way to get involved in your community! Each area on campus has their own PAB. An area is made up of (typically) two buildings we call “partner buildings." These areas are overseen by an Area Coordinator (a full-time live-in staff member) and a Community Assistant (a student staff member who has undergone significant training and is directly supervised and supported by their Area Coordinator). Either the Area Coordinator, or (most likely) the Community Assistant, will serve as an adviser to the PAB in their area. This adviser will work most directly with the President to create an agenda and provide guidance and support during PAB meetings. PABs will meet weekly to bi-weekly during the semester.

This organization exists to build community by offering opportunities to get involved on a smaller scale in your residence hall and partner building, planning events for the community and providing a space for residents to voice concerns and questions about living on campus. PAB is a group of students in a residence hall who:

  • Coordinate monthly social events in the hall.
  • Manage a budget up to $800.
  • Create relationships among residents in the hall.
  • Represent and advocate for all residents on campus.
  • Establish open and honest communication within our residence halls.
  • Share feedback and recommendations to the Residence Life Department.

PABs will have their own executive boards and each meeting will be open to anyone in the area who is interested in attending. The goal of the executive board is to provide structure and guidance for the group, leading all members to accomplish goals and tasks the board sets. Please see below for more information on each executive board position. There will also be a timeline below.

There is funding available for PABs. These boards will have an allocated amount of funds to spend to plan and execute events for their community. There are a lot of opportunities to create exciting and fun things in the residence halls!

Residents can contact their Programming and Activities Board adviser regarding meeting times and upcoming events. These are also highlighted in AC monthly emails.

  • The President shall be the presiding officer of Hall Council and the Chief Executive of the Executive Council.
  • The President shall communicate with the Hall Manager and Resident Assistants within the hall.
  • The President shall create the agenda for meetings with assistance of the adviser- or assign this duty to other members of the board, typically the Vice President.
  • The President shall inform the Vice President and adviser if unable to attend the meeting as early as possible (24 hours is a reasonable goal).
  • Attends meetings and offers any pertinent updates.
  • Assumes role of President in their absence and assists President with their duties as needed.
  • Ensures program proposals are completed.
  • Post-program/event ensures program follow-up form is completed.
  • Assists in guiding any smaller sub-committees should they be created.
  • Attends meetings and keeps minutes, ensuring these are stored in an accessible file.
    • Digital is preferred, specifically a Teams folder.
  • With the President, makes sure concerns and issues raised are noted and able to be easily brought to the attention of Residence Life or other appropriate entities.
  • Ensures all members of the community are able to access minutes.
  • Assists in guiding any smaller sub-committees should they be created.
  • Tracks the budget with adviser support.
  • Ensures programs and events remain on budget.
  • Provide budget updates at weekly meetings.
  • Suggests (with adviser support) budgets for events being planned.
  • Assists in guiding any smaller sub-committees should they be created.

Each PAB will meet weekly during the semester, excluding finals week and holiday weeks. These meetings are open to all residents of the area (for example, Parker and Crabtree will have one board made up of residents from both halls). All residents are encouraged to attend their respective PAB meetings, even if they do not wish to hold a position on the board.

Recruitment will begin in August prior to students returning to campus. Please check your hall lobby for information on when the first meeting will be held. This meeting will be run by the adviser and be a bit more informative in nature, should residents have questions. This meeting should occur by September 8.

  • Elections and campaigning will begin September 8 and run for one week.
  • Voting will conclude on September 21, with election winners announced to the area on September 22.
  • The first official meeting with the new board will be the week of September 29.

Positions not filled during this initial cycle will remain open until someone expresses interest. Those residents can be voted in or appointed on a rolling basis. Voting would be preferred, however an appointment by the adviser may be used if a vote is not feasible.
